Special Event Planner and Volunteer Manager
$10 / hour

We are looking for a successful and enthusiastic event planner to produce events from conception through to completion. Event coordinator responsibilities include providing outstanding customer service and organizing memorable events that meet quality expectations. The Special Event Volunteer Manager will oversee the acquisition, management and retention of volunteers for a variety of special events throughout the country and other opportunities for individuals to give their time and expertise.

• Event planning, design and production within time limits
• Working with clients to identify their needs and ensure customer satisfaction
• Organizing facilities and details such as decor, catering, entertainment, transportation, location, invitee list, special guests, equipment, promotional material etc. 
• Event planning, design and production while managing all project delivery elements within time limits
• Liaise with clients to identify their needs and to ensure customer satisfaction
• Conduct market research, gather information and negotiate contracts prior to closing any deals
• Provide feedback and periodic reports to board of directors at monthly meetings
• Propose ideas to improve provided services and event quality
• Organize facilities and manage all event’s details such as decor, catering, entertainment, transportation, location, invitee list, special guests, equipment, promotional material etc.
• Ensure compliance with insurance, legal, health and safety obligations
• Specify staff requirements and coordinate their activities
• Market, promote, and publicize events
• Proactively handle any arising issues and troubleshoot any emerging problems on the event day
• Conduct pre- and post – event evaluations and report on outcomes
• Research market, identify event opportunities, and generate interest 
• Maintain accurate and complete records of all activities from budgeting to relationship management
• Assist board of directors and staff with recruitment and management of volunteers and business sponsorships for events and fundraising campaigns
• Develop annual campaign plans to meet acquisition and retention goals
• Market our volunteer needs in local communities across the county
• Train volunteers on our institution’s mission and their role in advancing our mission
• Develop relationships with businesses and community groups that volunteer together
• Cultivate and grow relationships with volunteers and local businesses throughout the year
• Collaborate with the peer to peer fundraising team on outreach efforts and volunteer needs
• Utilize a variety of technology platforms to manage relationships, including but not limited to a CRM, online fundraising tools, project management systems and general business and communication tools

• Experience in empowering individuals through fundraising, participating in events, volunteerism, and business partnerships
• Proven experience as an events planner or organizer
• Excellent time management and communication skills
• Sales skills and ability to build productive business relationships
• Ability to manage multiple projects independently
• MS Office proficiency
• Willing to submit references from previous clients
• Excellent public speaking skills with the ability to present our institution’s mission and ways to get involved to groups of all sizes
• Demonstrated experience recruiting individuals to support an organization
• Demonstrated ability to mobilize and motivate individuals to achieve goals
• Demonstrated ability to identify opportunities for growth in relationships
• Ability to manage numerous campaigns at one time
• Initiative and independence, combined with the ability to work well as part of a team
